# Subscription Management

Subscriptions define how usage on UP is organized, billed, and presented on customer invoices. Each subscription represents a logical billing entity that ties usage data (billable units) to a pricing plan.

While customers can operate across multiple spaces within a single organization, subscriptions are still managed on a per-organization basis. The association of spaces to an organization are managed by UP.

When a new account is created the platform automatically creates a default space. To ensure the account is usable from day one.

## Trials

### Trial Subscriptions

A trial subscription offers a great way to start using UP without committing to any future usage. Trials include \$100 in credits that are usable across all usage based applications. Trials also include 1 Review Session and 1 Ingest Seat. Trials are valid for 30 Days or until the \$100 credit is exhausted, which ever comes first. One User/Email combination can only ever do a single trial. Organizations created during trial can continue to be used after subscribing.

### Trial Credits

* Trial credits (\$100) are granted upon creation of a trial and can be used for all usage based applications.
* The remaining credits can be seen in the Account Overview section of UP.
* When credits are exhausted, usage is blocked and the subscription is placed on hold until an admin subscribes.

### Trial Duration

* Trial duration is 30 Days from the date of organization creation.
* The remaining days can be seen in the Account Overview section of Organization Settings.
* When the duration is exhausted, usage is blocked and the subscription is placed on hold until an admin subscribes.

### Trial Conversion

A trial can be converted to a paid subscription at any time, remaining credits will be carried forward. Subscription upgrades are managed through the Account Overview section in the Organization Settings.

## Subscription Plans

UP offers the following types of subscription plans:

* Starter
* Basic
* Professional

For Details about subscription plans and tiers available, please see [UP Pricing](/platform/up-pricing)

## Upgrades, Downgrades, and Proration

Customers may upgrade or downgrade no more than once per calendar month.

### Upgrading Mid-Cycle

* Upgrades take effect immediately.
* Customers gain instant access to upgraded features and limits.
* To reduce complexity, mid-cycle proration for base-plan upgrades isn't charged.

### Monthly to Annual Upgrade

* Processed at end of current billing cycle.
* Annual charge is invoiced starting of the next term.

### Overages when Downgrading

Every plan includes a number of benefits. If an organization wishes to downgrade, all non add-on purchase conditions must be met. That may include:

* Number of spaces
* Number of users per organization
* SSO
* Future features

If downgrading a customer must meet the conditions of the lower they select. If a customer downgrades from a plan that includes three UP.Review sessions to one that includes one session and the customer still uses two sessions, the extra session is billed as an add-on.

## Add-Ons and Usage-Based Items

### General Rules

* Add-ons are billed monthly (even for annual base plans).
* Some add-ons (e.g. Review Sessions) are tiered, including a volume-based discount, while others will have a flat price (e.g. Ingest Seats).
* Usage-based and session-based items are billed in arrears (at the end of the billing period).

### UP.Review Sessions

* UP.Review sessions can be purchased as add-ons.
* Adding sessions: billed monthly, access granted immediately.
* Removing sessions: access continues until the end of the current monthly billing cycle.
* Customers may increase or decrease quantities freely.
* Proration and service credits are handled automatically.

### Spaces

* Spaces aren't available as separate add-ons.
* Space limits are enforced by the subscription tier.

## Cancellation

### Cancellation Timing

* Subscriptions can be canceled at any point in the billing period with the cancelation taking effect at the end of the current billing period.
* Status becomes 'cancel pending' until the effective cancellation date.

### Post-Cancellation State

The organization is set to 'Inactive' once cancellation takes effect.

Inactive organizations:

* Can't perform any billable actions.
* Can't add users, data, or storage.
* Can view settings and configurations.
* Can remove users.
* Can export existing data (billing analytics)

### Subscription Renewal After Cancellation

* If a user cancels and later returns, a new subscription must be selected.
* Previous plans aren't preserved.
* Downgrade implications (spaces, add-ons) apply based on the newly-selected plan.

## Feature Gating and Access Control

Some features are gated by subscription tier. Example: SSO is available only on the professional tier or Billing Analytics only available on the Basic and Professional tier.
